Vantiq Consulting Ltd is the controller for the processing described in this notice. Privacy enquiries and data-subject requests may be sent to the email address above.

This notice applies to visitors to the Vantiq Consulting website and to persons who contact us in connection with a prospective or existing business relationship. We process personal data lawfully, transparently and only to the extent necessary for the relevant purpose.

Please do not send special-category personal data, classified information or security-sensitive project material unless this has been expressly requested and an appropriate secure channel has been agreed.

The website is delivered through a managed hosting platform and network-security infrastructure, currently including ChatGPT Sites and Cloudflare services. When a page is requested, technical data may be processed automatically, including IP address, date and time, requested page, referrer, browser and device information, operating system, language, response status and transferred data volume.

This processing is necessary to deliver the website, maintain stability and security, prevent abuse and investigate technical faults. The legal basis is Article 6(1)(f) GDPR. Our legitimate interests are the secure, reliable and efficient operation of the website.

Technical logs are retained only for as long as required for operation, security and incident investigation and are then deleted or anonymised, unless a security event or legal obligation requires longer retention. Vantiq Consulting does not use these logs to create visitor profiles.

The website contact form does not transmit data to a Vantiq Consulting web server. Selecting ‘Prepare enquiry’ creates a draft in the visitor's own email application. Data reaches Vantiq Consulting only if the visitor chooses to send that email.

When you contact us, we may process your name, business contact details, organisation, country, area of interest, message, attachments and related correspondence. Processing is carried out to respond, assess a possible engagement, take pre-contractual steps, manage a business relationship, document communications and establish, exercise or defend legal claims.

The legal bases are Article 6(1)(b) GDPR for pre-contractual steps or performance of a contract, Article 6(1)(f) GDPR for professional communication, relationship management and legal protection, and Article 6(1)(c) GDPR where retention or disclosure is required by law.

We normally obtain contact and project-related data directly from you. Business contact data may also be received from your organisation, a mutual contact, a project participant or a lawfully accessible professional source where this is necessary to initiate or manage a legitimate business relationship.

Providing contact details and information relevant to an enquiry is voluntary, but without sufficient information we may be unable to respond or assess a potential engagement. Data required under a later contract will be identified in that contractual context.

Personal data is disclosed only where necessary and proportionate. Recipients may include authorised persons within Vantiq Consulting, hosting, security, email and IT service providers, professional advisers, insurers, auditors, banks, project partners or subcontractors involved in a requested service, and authorities or courts where disclosure is legally required. Processors are selected with due care and bound by appropriate data-protection and confidentiality obligations.

Some technical or professional service providers may process data outside the European Economic Area. Where this occurs, we rely on an applicable adequacy decision or appropriate safeguards under Chapter V GDPR, such as the European Commission's standard contractual clauses, together with supplementary measures where required. Information about relevant safeguards may be requested, subject to protection of confidential contractual and security information.

General enquiries that do not result in an engagement are normally retained for up to 24 months after the last substantive contact, unless earlier deletion is appropriate or a longer period is necessary for a documented legitimate reason.

Records connected with an engagement or business relationship are retained for its duration and afterwards for applicable statutory retention and limitation periods. Data needed for legal claims, compliance investigations or binding legal obligations is retained until the relevant purpose has ended. We delete or anonymise data when it is no longer required.

Subject to the GDPR, you may request access to and a copy of your personal data, rectification, erasure, restriction and data portability. You may object at any time to processing based on legitimate interests on grounds relating to your particular situation. Where processing is based on consent, consent may be withdrawn at any time without affecting prior lawful processing. Requests can be sent to office@vantiq-consulting.com. We may request information necessary to verify identity.

You may lodge a complaint with a supervisory authority, in particular in the Member State of your habitual residence, place of work or the alleged infringement. Vantiq Consulting does not use website visitor data for automated decision-making or profiling. We apply proportionate technical and organisational measures designed to protect personal data. No internet transmission or storage system can, however, be guaranteed to be absolutely secure.

This notice may be updated when the website, service providers or legal requirements change. The current version and its update date are published on this page. Material changes affecting an existing relationship will be communicated where required by law.
